Steven A. Capes ("we", "us") operates QuotePro and is the data controller for the personal data described below.

Data we collect and why

• Account data (email, password or Google sign-in identifier): to create and secure your account. Basis: contract.
• Business profile (business name, phone, email, rates, tax rate): to put your details on quotes. Basis: contract.
• Job and client data (client names, emails, addresses, job descriptions, line items, expenses): to provide the estimate, invoice and report features. Basis: contract.
• Photos you attach to a quote: sent to our AI provider to draft the estimate and not stored by us. Basis: contract.
• Usage and technical data (IP address, device and log data): for security, fraud prevention and improving the service. Basis: legitimate interests.
• Support messages: to answer you. Basis: legitimate interests.

Payment card details are collected and processed by Paddle, not by us.

Who we share data with

• Paddle.com, our Merchant of Record, for sales, subscriptions, payments, tax compliance and invoicing.
• Service providers that host the app and database, provide AI drafting, and run material price searches.
• Professional advisers such as legal and accounting advisers.
• Authorities where required by law.

When you share a quote link, anyone with the link can view that quote. We do not sell your personal data.

Retention

We keep your data while your account is active and delete or anonymise it when it is no longer needed, unless the law requires us to keep it longer.

Security

We use appropriate technical and organisational measures, including encryption in transit and access controls, to protect your data.

Cookies

We use only essential cookies and similar storage needed to keep you signed in. We do not use advertising cookies.

International transfers

Your data may be processed outside your country, including in the United States. Where required, we rely on safeguards such as standard contractual clauses.

Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or port your data, to object to processing, to withdraw consent, and to complain to your data protection authority. We respond within one month. To exercise these rights, email capess@yahoo.com.
